Privacy Notice for California Job Applicants

Ancillare LP understands the importance of privacy and takes seriously the need to protect job applicants’ personal information. Pursuant to the California Consumer Privacy Act, as amended by the California Privacy Rights Act (together, the “CCPA”), this privacy notice (the “Notice”) explains our online and offline practices regarding the collection, use, and disclosure of “personal information” of job applicants who reside in California. Please read this Notice carefully so you understand our practices regarding your information.

Information Ancillare Collects and Discloses

As defined by the CCPA, “personal information” includes any information that identifies, relates to, describes, references, is reasonably capable of being associated with, or could reasonably be linked, directly or indirectly, with a particular consumer or household. Personal information does not include deidentified or aggregated consumer information, certain regulated information, or information made available to the general public.

In the past 12 months, Ancillare has collected the following categories of personal information from consumers acting as a job applicant of Ancillare LP and disclosed such information to the following categories of third parties for the business or commercial purposes described below.

How Ancillare LP Collects Your Information

Ancillare LP collects the above-identified categories of personal information from the following sources:

  • Direct collection: Ancillare LP collects information directly from you when you choose to provide it to us by filling out forms or surveys, participating in an interview or other components of the applicant process, or otherwise directly providing the information to us.
  • Third Parties: Ancillare LP collects information about you from third parties who support our Human Resources and job application process, including recruitment agencies, background check vendors, and other hiring technologies.
  • Indirect and technology-based collection: Ancillare LP also collects certain information from you indirectly when you access our websites or job applicant portals. Ancillare LP collects certain identifiers (such as IP addresses) and internet and similar network activity (such as website usage data) from you indirectly using cookie, pixels, and passive tracking technologies.

Sensitive Personal Information

Ancillare LP does not collect “sensitive personal information” (as defined by the CCPA) for the purposes of inferring characteristics about California consumers. Accordingly, Ancillare LP treats any such information as “personal information” consistent with applicable provisions of the CCPA.

Use of Personal Information

Ancillare LP collects and uses your personal information for the following business or commercial purposes, consistent with and only as permitted by applicable law:

  • Considering job applicants for current and potential future employment opportunities including applicant skills, qualifications, and interests against our career opportunities.
  • Evaluating a job applicant’s employment application, corroborating the information contained in the application and any supporting documents, and (where applicable) conducting employment-related screening and background checks. (Ancillare LP uses background information as permitted by applicable law.)
  • Scheduling job applicants for interviews and communicating with them about their application and employment opportunities.
  • Aggregating data for Ancillare LP’s diversity, equity, and inclusion objectives.
  • Complying with state and federal laws and regulations governing the employment process and maintaining records pursuant to such laws and regulations.
  • Communicating with job applicants about their candidacy.
  • Keeping records of our interactions and communications with job applicants.
  • Protecting our operations, rights, privacy, safety, or property, or that of our affiliates, job applicants, or other parties.
  • For any other purposes that Ancillare LP discloses to you at the time of collection.

Disclosure of Personal Information

As indicated above, Ancillare LP may disclose some of the personal information with third-party vendors as necessary for our business purposes. For example, such vendors could include the agencies Ancillare LP uses to conduct pre-employment screenings (such as background checks). From time to time, Ancillare LP may also be required to disclose your information to governmental authorities for the purpose of complying with applicable laws and regulations or in response to legal process.

Sale or Sharing of Personal Information

In the past 12 months, Ancillare LP has not “sold” any categories of personal information, or “shared” any such information for the purposes of cross-context behavioral advertising. Likewise, Ancillare LP does not have actual knowledge of any sales or sharing of personal information regarding minors under 16 years of age.

Applicable Retention Periods

For each category of personal information identified above, Ancillare will only retain such information for as long as necessary to fulfill your requests or the purposes for which it was obtained, as set forth in this Notice. The criteria used to determine our retention periods include (i) for as long as Ancillare LP has an ongoing relationship with you, (ii) as required by a legal obligation to which Ancillare LP is subject, and (iii) as necessary to resolve any disputes or enforce our legal agreements with you.

Your Rights Under the CCPA

The CCPA provides California residents with the rights discussed below. For convenience, and as required by the CCPA, Ancillare LP explains how you can exercise those rights, to the extent they are applicable.

1. Right to Request Information. You have the right to request that Ancillare LP discloses certain information about our collection and use of your personal information during the past twelve (12) months. Specifically, you may request that Ancillare LP discloses:

  • The categories of personal information Ancillare LP collected about you;
  • The categories of sources for the personal information Ancillare LP collected about you;
  • The business and commercial purposes for collecting your personal information;
  • The categories of third parties to whom Ancillare LP discloses your personal information;
  • The specific pieces of personal information Ancillare LP collected about you; and
  • If Ancillare LP disclosed your personal information for a business purpose, the categories of personal information received by each category of third party.

2. Right to Data Portability. You have the right to request Ancillare LP to provide copies of the specific pieces of personal information collected about you. If a verifiable consumer request is made, and subject to any exceptions or limitations under the CCPA, Ancillare LP will take steps to deliver the personal information to you either by mail or electronically. If Ancillare LP provides the information to you electronically, it will be in a portable and readily useable format, to the extent technically feasible. Consistent with the CCPA and Ancillare LP’s interest in the security of your personal information, Ancillare LP will describe but may not provide copies of certain personal information received from you (e.g., driver’s license number, other government-issued identification number, financial account number(s), health or medical identification number, account password, or security questions or answers) in response to a CCPA request, to the extent any of those items are in our possession.

3. Right to Request Deletion. You have the right to request personal information collected from you is deleted; subject to any exceptions or limitations under the CCPA.

4. Right to Correct Inaccurate Information. If Ancillare LP maintains inaccurate personal information about you, you have the right to request that a correction of that inaccurate personal information, taking into account the nature of the personal information and the purposes of the processing of the personal information.

5. Right to Opt-Out. Consumers in California have the right to opt-out of (a) the sale of personal information, or (b) the sharing of their personal information for the purposes of cross-context behavioral advertising (as defined in the CCPA). Because Ancillare LP does not “sell” or “share” personal information, these rights are not available.

Exercising Your Rights

To exercise the rights described above, you—or someone authorized to act on your behalf—must submit a verifiable consumer request to us by sending an e-mail to HR@Ancillare.com with the subject line: “CCPA Request.” Your request must include your name, e-mail address, mailing address, phone number, and the specific requests you are making. If you are an agent submitting a request on behalf of a consumer, Ancillare LP may request that you submit a signed permission from the consumer authorizing you to make the request. In order to protect the privacy and data security of consumers, the verifiable consumer request must:

  • Provide sufficient information that allows us to reasonably verify you are the person about whom Ancillare LP collected personal information or an authorized representative of such consumer; and
  • Describe your request with sufficient detail that allows us to properly understand, evaluate, and respond to it.

As indicated above, please be aware that the CCPA provides certain limitations and exceptions to the foregoing rights, which may result in us denying or limiting our response to your request.

You may only make a verifiable consumer request for access or data portability twice within a 12-month period. Ancillare LP will only use personal information provided in a verifiable consumer request to verify the requestor’s identity or authority to make the request. Ancillare LP may also request that you provide additional information if needed to verify your identity or authority to make the request. Ancillare LP cannot respond to your request or provide you with personal information if Ancillare LP cannot verify your identity or authority to make the request and confirm the personal information relates to you or the consumer on whose behalf you are making the request.

Response Timing and Format

The CCPA requires us to respond to a verifiable consumer request within forty-five (45) days of its receipt; however, Ancillare LP may extend that period by an additional 45 days. If more time is required, Ancillare LP will inform you of the reason and extension period in writing and deliver our written response via e-mail. Any disclosures provided will only cover the 12-month period preceding the receipt of the verifiable consumer request, provided that you may request disclosure beyond the 12-month period as permitted by the CCPA. The response Ancillare LP provides will also explain the reason(s) Ancillare LP cannot comply with a request, if applicable. For data portability requests, Ancillare LP will select the format of our response; the format will be readily useable and should allow you to transmit the information from one entity to another. Ancillare LP will not charge a fee to process or respond to a verifiable consumer request unless it is excessive, repetitive, or manifestly unfounded. If Ancillare LP determines a request warrants a fee, Ancillare LP will tell you why a decision was made and provide you with a cost estimate before completing the request.

Our Commitment Not to Discriminate

Ancillare LP will not discriminate or retaliate against a job applicant for exercising their rights under the CCPA, including by denying you benefits or services that Ancillare LP makes available, charging you different prices or rates for services or benefits, providing a different level or quality of services or benefits, or suggesting that you may receive a different price or level of quality of services or benefits.

Changes to this Notice

Ancillare LP reserves the right to amend this Notice at our discretion and at any time. If there are changes to this Notice, Ancillare LP will post them here and update the “Last Updated” date at the top of this document. Continued use of this website after any changes is deemed to be acceptance of those changes. Please check this page periodically for updates.

We are seeking a detail-oriented Accounts Payable Clerk to join our Finance team. This position will perform a variety of accounts payable and administrative tasks to support daily operations.       Accounts Receivable Specialist

      We are seeking an Accounts Receivable Specialist to manage Ancillare’s incoming payments and revenue streams. This role will ensure accurate recording of financial transactions, reconcile accounts, and follow up on outstanding invoices to maintain financial health and liquidity. In essence, the Account Receivable Specialist ensures the company receives payments for ancillary supplies and or services and that these payments are accurately recorded and applied.

       

      Key Responsibilities:

      • Perform routine billing to sponsors timely and accurately.
      • Review accounts receivable aging reports to determine and carry out
        appropriate collection efforts. Research and analyze accounts prior to
        contacting sponsor.
      • Review and reconcile customer accounts to resolve issues and obtain
        payment, maximizing collection of accounts receivables while maintaining
        customer goodwill.
      • Investigate and resolve billing issues including credits, disputes and refunds,
        identify billing deficiencies and determine the root cause for delayed
        payments, partial payments and disputed invoices.
      • Maintain files on all past due accounts, documenting details of actions to
        secure payment. Keep track of all written and phone communications with
        internal and external parties.
      • Track and report key AR metrics.
      • Effectively partner with internal teams (i.e. Project management, Business
        Development) to resolve issues related to collection efforts.
      • Compile information, prepare reports and escalate issues as agreed upon
        with Supervisor.
      • Ensure compliance with relevant laws and regulations related to accounts
        receivable practices.
      • Ability and desire to work a project to completion meeting and or exceeding
        timeline deliverables.

          Qualifications:

          • High school diploma or GED required.
          • Associate degree or business school training a plus. 
          • 3+ years of direct accounts receivable experience required, ideally in a team
            setting.
          • Working experience with tracking and tracing vendor uploaded invoices
            from invoice generation through payment.
          • Proven ability to manage Accounts Receivable report and customers over
            terms.
          • Prior experience with Business Central a plus.

          Requirements:

          • Strong verbal and written communication skills in English.
          • Highly detail-oriented and organized with the ability to manage multiple tasks.
          • Excellent interpersonal and communication skills.
          • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
          • Working knowledge of general ledger systems preferred.
          • Bank reconciliation experience is a strong plus.

          Senior Manager, Global Distribution and Strategic Depots

          The Senior Manager, Global Distribution and Strategic Depots will lead the company’s receiving, inventory management, and distribution operations across the depot network, including Master and Strategic Depots. This role emphasizes safety, quality, regulatory compliance, customer service, and operational productivity. The manager will establish and maintain standardized global supply chain processes, ensure compliance at all depots, and serve as the Subject Matter Expert (SME) for global supply chain operations.

          Key Responsibilities:

          Leadership & Operations Management

          • Provide leadership and oversee all daily warehouse and distribution center operations at Ancillare sites.

          • Collaborate with the Senior Manager, Logistics to establish, implement, and monitor requirements for daily order work streams for warehouse and logistics teams, ensuring smooth flow of products and on-time customer deliveries.

          • Oversee the depot network (Master and Strategic Depots), ensuring company and customer requirements are communicated, understood, and consistently met.

          • Maintain current strategic depots and identify new depots as needed.

          • Serve as the point of contact for escalations and issue resolution; perform root cause analysis and determine appropriate corrective actions.

          Process & Compliance Management

          • Develop, implement, and maintain robust supply chain operations procedures and training programs, ensuring records are accurately maintained.

          • Ensure effective internal controls exist, are maintained, and function in operational areas of the department.

          • Establish processes for monitoring, maintaining, and recording warehouse equipment, ensuring safe storage and use.

          • Collaborate with Quality Control and Supply Chain Compliance teams to ensure global compliance with internal and external requirements.

          Continuous Improvement & Metrics

          • Identify, lead, and facilitate initiatives for continuous process improvement across the depot network.

          • Develop, collect, manage, and report on global supply chain operational metrics.

          • Track KPIs and produce regular performance reports on warehouse and depot operations.

          • Drive activities that improve coordination and communication within the department and across company functions.

          Inventory & Distribution Coordination

          • Ensure continuity of operations, procedures, and communications between the US distribution site and all Master Depots.

          • Facilitate systemic management of inventory across all depots in the network.

          Team Development & Project Management

          • Hire, lead, supervise, coach, mentor, train, and evaluate team members; identify performance gaps and recommend development opportunities.

          • Work off-hours and travel as required to support operations.

          • Manage projects to completion, meeting or exceeding timeline deliverables.

          Organizational Impact

            The Executive Administrative Assistant provides timely and effective professional support to the CEO and Executive Suite Leaders, enhancing overall executive effectiveness.             Responsibilities:

            •  Oversee and manage all daily administrative functions for the CEO and Executive Leadership team.
            • Deliver comprehensive administrative and clerical support to Executive Suite leaders with a high degree of professionalism.
            • Prepare and process documents, reports, and presentations by transcribing, formatting, editing, and managing data and graphics.
            • Collect and analyze information to produce accurate and timely reports.
            • Coordinate and maintain the executive calendar, including scheduling meetings, conferences, teleconferences, and travel arrangements.
            • Serve as the first point of contact for guests and stakeholders, ensuring a welcoming and professional experience.
            • Safeguard confidential information and maintain discretion in all aspects of the role.

            Qualifications & Requirements

            • Bachelor’s degree preferred; equivalent experience considered.
            • 5+ years of progressive administrative support experience.
            • Proficiency in Microsoft Office Suite (Excel, Word, Outlook); advanced Excel skills (pivot tables, VLOOKUP, formulas, charts, data validation) strongly preferred.
            • Accurate data entry and strong typing skills.
            • Excellent problem-solving abilities and clear, effective communication skills.
